🏁 Code of Conduct for Drivers – Car Show Event

1. General Behavior

  • All drivers must behave in a respectful, courteous manner toward attendees, staff, vendors, and other participants.
  • Offensive language, aggressive behavior, or harassment of any kind will not be tolerated.
  • Drivers must comply with all instructions from event staff and safety personnel at all times.

2. Vehicle Operation

  • No speeding. All vehicles must be driven at idle or walking speed while on event grounds.
  • No burnouts, drifting, racing, or revving that creates excessive noise or safety risks.
  • Engines may only be started or revved in designated areas if permitted by event staff.
  • Vehicles must remain in their assigned display location unless cleared by event staff for movement.

3. Safety Requirements

  • Drivers must remain aware of pedestrians, especially children, at all times.
  • No distracted driving — no cell phones, filming, or taking photos while operating a vehicle.
  • Vehicles should be properly secured when parked (e.g., parking brake engaged).
  • Alcohol or controlled substances are strictly prohibited for any driver operating a vehicle at the event.

4. Arrival, Parking, and Departure

  • Follow the designated check-in route and park only where directed by staff.
  • Display passes, stickers, or wristbands as required for entry.
  • Once parked, vehicles must remain stationary until the scheduled departure time or until staff signals it is safe to move.
  • When exiting, drivers must follow the same slow-speed, controlled-movement rules as arrival.

5. Vehicle Presentation

  • Ensure the vehicle is clean, safe, and free of leaks or hazards.
  • No open flames, exposed fuel, or unsafe modifications are allowed.
  • All props, displays, tents, or signage must be secured and may not obstruct walkways or emergency access.

6. Respect for Venue and Property

  • Do not damage lawns, pavement, buildings, or any part of the venue.
  • Clean up spills immediately and notify staff of any fluid leaks.
  • Dispose of trash in designated bins.

7. Compliance & Consequences

Drivers who violate the Code of Conduct may receive:

  • A warning
  • Removal from the event
  • Ban from future events

Event staff have full authority to enforce safety and conduct rules.

8. Liability & Responsibility

  • All drivers participate at their own risk and are responsible for their vehicles.
  • Drivers must carry valid insurance and be legally licensed to operate their vehicle.

🏪 Vendor Terms & Conditions

Booth Assignment & Setup

  • Booth locations are assigned by event organizers and are not guaranteed until confirmation.
  • Vendors must set up during designated hours (6:00 AM – 8:30 AM on event day).
  • All displays must remain within the assigned booth space.
  • Vendors are responsible for providing their own tables, chairs, canopy, and display materials.

Products & Services

  • All products and services must be legal and appropriate for a family-friendly event.
  • Food vendors must provide proof of valid health permits and food handling certifications.
  • Event organizers reserve the right to approve or deny any vendor application.
  • Vendors may not sublet booth space without prior written approval.

Payment & Refund Policy

  • Full payment is required at the time of registration.
  • Refund requests made 14+ days before the event: full refund.
  • Refund requests made 7–13 days before: 50% refund.
  • No refunds within 7 days of the event.

Liability

Vendors are responsible for their own property, inventory, and liability insurance. The event organizers are not responsible for loss, theft, or damage to vendor property. Vendors agree to hold harmless the event organizers, venue, and sponsors from any claims arising from their participation.

Electrical & Utilities

  • Electrical hookup is available for an additional fee and must be requested during registration.
  • All electrical equipment must be in safe working condition.
  • Generators are not permitted without prior approval.

🤝 Sponsor Terms & Conditions

Sponsorship Benefits

  • Benefits are tier-specific and as described on the registration page.
  • Logo placement, banner positioning, and booth locations are at the discretion of event organizers.
  • Sponsors must provide print-ready logos and materials by May 1st, 2026 to guarantee inclusion in printed materials.
  • Digital promotions (website, social media) will begin within 7 days of confirmed sponsorship.

Payment Terms

  • Full sponsorship payment is due at the time of registration.
  • Sponsorship fees are non-refundable once promotional materials have been produced or digital promotions have begun.
  • Refund requests before promotional work begins: full refund minus processing fees.

Branding & Usage

  • Sponsors grant permission for event organizers to use their logo and company name in event promotions.
  • Event organizers will make reasonable efforts to represent sponsor branding accurately.
  • Sponsors may not use event branding without prior written approval.

Liability & Indemnification

Sponsors agree to hold harmless the event organizers, venue, and volunteers from any claims, damages, or liabilities arising from the sponsor's participation in the event. Sponsors are responsible for their own insurance coverage.

Event Cancellation

In the event of cancellation due to circumstances beyond control (severe weather, government orders, etc.), sponsors will receive a full refund of sponsorship fees, or may elect to transfer their sponsorship to the next scheduled event.
